The Caerphilly Early Years and Childcare Training Programme for Childcare Professionals is designed to meet both Regulatory requirements and the Care and Social Services Inspectorate, Wales' National Minimum Standards. It is part funded by the Caerphilly Early Years and Childcare Service Area. Detailed below are the conditions for attending any of the courses in the training programme along with the booking information.

Eligibility Criteria

This Multi Agency training is available to all childcare workers in the non-maintained childcare sector, currently working in the Caerphilly County Borough area and can include volunteers and non registered providers in early years and childcare settings

Responsibility of the Childcare Setting

  • The line manager allocated to book training places must ensure that they only book for staff allocated to their childcare setting. It is also their responsibility to inform the Caerphilly Early Years Team on staff leaving and new staff starting at the setting in order that the data held on the system is accurate and up to date.
  • Attendees must read and adhere to the learning agreement/code of conduct. Failure to do so may result in the individual not being able to attend future courses.
  • Training courses may be added to the site throughout the year. Please make sure you check the website regularly for details and updates.
  • It is the responsibility of the line manager to explain the training process to their staff. Staff supplying email addresses must be made aware of the reasons for this and agree for their data to be kept and used. Please ensure that your details are kept up to date. All correspondence will be sent via email.
  • If you need to make a change of attendee to a course, this must be completed within 24 hours before the course start date and time. Line managers are able to substitute members of staff booked onto a course via the Online Booking and Payments site only. This is to ensure that trainers receive the updated attendance list in order to prepare for the session.
  • Individuals who are not on the attendance list may be refused entry at the Training.
  • Before booking onto a course the setting should review the course content to ensure the course will meet their training needs.
  • Failure of any of the attendees to attend the course will result in the full cost being incurred.


  • All settings must be set up on the Caerphilly on-line booking system to book staff onto training courses.
  • If you are not already set up to use the on-line booking system, the childcare setting must contact the Early Years Team for further information.
  • Once the setting has received a user guide and a log on code, the system can be accessed. The user guide will be available on the website.
  • Setting details held on the system can be amended by the line manager once logged onto the system.
  • The Course cost per person can be found in the course description on the Caerphilly on-line booking system website, and is non negotiable.
  • One week’s notice (7 days) in writing is required to cancel the booking for a refund. Exceptional circumstances will be considered. Substitute attendees can be made (see above).
  • A maximum of 3 spaces per setting per course can be booked.
  • Reserve lists will be held at the point of request if training spaces are not bookable. The Early Years team will contact the relevant settings if and when spaces are made available due to cancellations.


  • Only card payment will be accepted and all payments will be paid in advance.
  • Only card payment will be accepted for non local authority childcare settings.
  • Confirmation of the card payment will be emailed to the email address provided; this will need to be kept by you as a record.
  • If cancellations are made within the required timeframe (minimum 7 days notice), refunds will be administered via the issue of a cheque. Refund/Cancellation requests will need to be authorised by the Caerphilly Early Years Team.

Cancelled courses

  • The Early Years and Childcare Team reserve the right to cancel a training course or substitute the named Facilitator.
  • If a course is cancelled, notification of the cancellation will be sent using the details supplied on the booking form.
  • Please note: The Team can not be held responsible if contact cannot be made via the methods provided on the booking form.
  • An emergency contact number for delegates is required on the booking form. This will only be used should a course need to be cancelled at short notice.
  • Please note that the person responsible for booking staff onto the course is responsible for informing all delegates.
  • In the event of a course being cancelled all payments pertaining to that course will be reimbursed.


The Team reserve the right to change the venue of any of the training courses scheduled in the guide. In such an event notification of the change will be made via email using the details supplied on the booking form. The Team will not be held responsible if mailboxes are not monitored. Attendees who fail to attend the correct venue will not be offered a refund or transfer if a reasonable attempt has been made by the Team to notify the attendee of the change.

Force Majeure

The Team shall not be liable for any failure or delay in the performance, in whole or part of any of our obligations arising from or attributable to acts, events, omissions or accidents beyond our reasonable control including, but not limited to strikes, lock-outs or other industrial disputes (whether involving our workforce or any other party), acts of God, wars, riots, civil commotions, malicious damage, compliance with any law or governmental order, rules, regulations or directions, accidents, breakdowns of plant or machinery, fires, floods, storms, pandemics, epidemics or other outbreak of disease or infection, or failure in the public supply of electricity, heating, lighting, air conditioning or telecommunications equipment.
